Franchise NFC and QR Review Hardware Deployment Checklist

A franchise review hardware deployment checklist helps an organization plan, label, assign, ship, activate and test physical NFC and QR review products across multiple locations. Before rollout, the franchise should verify every location, destination, product quantity, placement, internal product name, branding version, shipping destination and responsible manager.

Before production Verify locations, Google Business Profiles, product formats, quantities and approved artwork.
Before shipping Match every product group with the correct location, destination, label and receiving contact.
Before customer use Activate, name and test every eligible product and confirm that it opens the intended destination.

What Is a Franchise Review Hardware Deployment?

A franchise review hardware deployment is the organized rollout of physical NFC and QR review products across several locations. It includes selecting products, assigning destinations, creating understandable product names, approving branding, organizing shipping, training employees and testing each product before customer use.

The hardware may include countertop review stands, portable NFC review cards, adhesive plates, stickers, keychains and other eligible products. Different formats can be assigned according to the customer journey at each franchise location.

A rollout is not complete when products leave the supplier. It is complete when every location receives the correct products, knows where to place them, understands how to use them and confirms that each product opens the intended destination.

Deployment rule: Standardize the process across the franchise, but do not automatically give every location the same quantity or product mix. Store layouts, customer traffic and employee workflows can differ substantially.

Phase 1: Franchise Pre-Production Checklist

Before production, document every participating location, verify its Google Business Profile, select the appropriate physical products, calculate quantities and approve every required branding version.

Checklist item Required information Responsible party Completion standard
Location list Business name, full address and location number Franchise administrator Every participating location is documented
Google Business Profile Correct listing and direct review destination Marketing or location manager Destination matches the physical location
Product selection Stand, card, keychain, plate, sticker or mixed system Operations team Product matches the intended customer interaction
Quantity Number of products by location and format Operations and purchasing Quantity reflects actual touchpoints and staffing
Branding Logo, colors, approved wording and design variations Brand or marketing team Every design version receives approval
Shipping plan Central warehouse or individual location delivery Purchasing or logistics Receiving addresses and contacts are confirmed

Information to collect for every location

  • Franchise location name or internal number
  • Complete physical address
  • Location manager or responsible contact
  • Correct Google Business Profile
  • Approved review destination
  • Selected product formats
  • Quantity of each product
  • Requested product names
  • Branding version
  • Shipping address
  • Expected physical placement

Phase 2: Choose Hardware by Customer Touchpoint

Choose franchise review hardware according to where the customer interaction occurs. Fixed products belong at predictable customer touchpoints, while portable products support employees who move around the location or provide service away from a counter.

Product format Recommended deployment Main advantage Deployment check
Countertop review stand Reception, checkout, front desk and service counter Visible at a predictable fixed location Confirm counter space and customer access
NFC review card Managers, salespeople, technicians and mobile employees Portable and easy to present directly Assign responsibility for every card
Adhesive plate or sticker Registers, walls, counters and compact fixed surfaces Uses minimal space Confirm surface, adhesive and environment
NFC review keychain Field employees, service crews and mobile managers Can remain with the assigned employee Plan for loss, turnover and reassignment
Mixed review-product system Locations with several customer journeys Matches each format to its strongest use Document each product separately

For product purchasing and franchise-specific format recommendations, visit Google Review Cards for Franchises.

For broader format comparisons, use the NFC Product Comparison and Selection System.

Phase 3: Calculate Product Quantities by Location

Calculate product quantities from customer touchpoints, independently operating employees and location traffic. Do not determine the complete order by multiplying one arbitrary product quantity by the number of franchise locations.

Count fixed customer touchpoints

  • Reception desks
  • Checkout counters
  • Retail registers
  • Service desks
  • Waiting areas
  • Pickup stations
  • Host stations
  • Approved entrances and exits

Count portable-use requirements

  • Customer-facing managers
  • Sales employees working away from a counter
  • Field technicians
  • Installers and estimators
  • Delivery personnel
  • Mobile service teams
  • Employees serving separate customer areas
Small franchise location Cover the primary transaction point and any employee who independently completes customer service away from it.
Medium franchise location Cover multiple checkout or service areas and selected portable employee roles.
Large or high-traffic location Map each major customer path and account for simultaneous interactions at several stations.
One franchise location does not automatically equal one review product. One hundred locations may require more or fewer than one hundred products depending on registers, service departments, customer flow and mobile employees.

Phase 4: Establish the Franchise Product-Naming System

Use one naming formula across the organization: location name or number, followed by placement or assigned employee, followed by a product number when needed.

Franchise location Product format Recommended product name Physical placement
Seattle Location 01 NFC and QR review stand Seattle 01 Reception 1 Reception counter
Bellevue Location 02 NFC review card Bellevue 02 Manager Card 1 Assigned to location manager
Tacoma Location 03 Adhesive review plate Tacoma 03 Checkout 1 Checkout area
Portland Location 04 NFC keychain Portland 04 Technician 1 Assigned to mobile employee

Avoid names such as “New Card,” “Stand 6” or “Manager Product.” Those labels lose meaning when a product moves, a manager changes or the franchise adds more locations.

For dashboard naming, location assignments and destination updates, visit Multi-Location NFC Review Product Management.

Phase 5: Approve Franchise Branding and Artwork

Before production, approve the logo, brand colors, customer-facing wording, QR-code placement, NFC tap indicator and every location-specific design variation.

A franchise artwork package should identify:

  • The approved master logo
  • Approved brand colors
  • The required review call to action
  • Which products include NFC and QR functionality
  • Any location-specific business names
  • Any location-specific addresses or wording
  • The quantity required for every design version
  • The individual who has final approval authority

Brand consistency matters, but branding should not bury the action. Customers must be able to identify the NFC area, see the QR code when included and understand what the product does.

If seven executives, four franchisees and somebody’s cousin are all editing the artwork separately, the production file is not approved. Establish one final decision-maker before production.

Phase 6: Organize Packaging, Shipping and Distribution

Before shipping, confirm whether products will be delivered to one central address or distributed to individual locations. Every package should remain identifiable by location, product type and intended recipient.

Central distribution

The complete order is shipped to a corporate office, warehouse or deployment manager. The franchise then separates and forwards products to individual locations.

Central distribution may provide:

  • One receiving point
  • Corporate inspection before rollout
  • Internal control over distribution timing
  • The ability to combine products with franchise training materials

Individual-location distribution

Products are organized for delivery to separate franchise locations when that shipping structure is available and confirmed for the project.

Before individual-location distribution, confirm:

  • Complete shipping address
  • Suite or unit number
  • Receiving contact
  • Business hours
  • Location identifier
  • Products and quantities in the package
  • Tracking and internal receipt process

Shipping availability, packaging requirements and pricing depend on the final project and should be confirmed before production.

Phase 7: Activate and Test Every Product

Before customer use, verify the product name, assigned location and destination, then test the NFC and QR functions available on the selected product. The final destination must match the location where the product will be used.

  1. Open the product activation process.
Follow the instructions supplied with the eligible TAPro product.
  2. Enter the approved product name.
Use the franchise naming convention established before production.
  3. Select the correct business location.
Confirm the business name and physical address carefully.
  4. Verify the assigned destination.
Make sure the product opens the intended location’s approved page.
  5. Test NFC access.
Use a compatible phone and test the designated NFC tap area.
  6. Test the QR code when included.
Scan the code and verify that it reaches the same intended destination.
  7. Record completion.
Mark the product as tested in the franchise deployment record.
A successful scan is not enough. The product must open the correct location—not merely open something.

Phase 8: Train Franchise Employees

Employees should understand what each product does, where fixed products belong, who is responsible for portable products, when customers may be invited to leave feedback and which review practices are prohibited.

Every participating employee should know:

  • Where fixed review products are placed
  • How customers use NFC and QR functionality
  • Who is responsible for employee-carried products
  • How to report a missing or damaged product
  • How to report an incorrect destination
  • That customers must be free to leave honest feedback
  • That a particular rating must never be requested
  • That incentives must not be offered for positive reviews
  • That dissatisfied customers must not be secretly redirected away from Google

Portable products should be assigned deliberately. If everyone is responsible, nobody is responsible—and the missing keychain will eventually be blamed on the employee who left six months ago.

Phase 9: Franchise Launch-Day Checklist

On launch day, verify that every product is present, correctly placed, connected to the intended destination and understood by the employees responsible for using or supervising it.

  • Confirm that every package was received
  • Compare received quantities with the deployment record
  • Place fixed products in their approved locations
  • Assign portable products to the correct employees
  • Confirm that visible branding matches the location
  • Test NFC functionality
  • Test every included QR code
  • Confirm the final destination
  • Make sure employees understand the review-request policy
  • Record missing, damaged or incorrectly assigned products
  • Photograph final placements when useful for internal records

Phase 10: Maintain the System After Launch

After launch, franchises should periodically verify product placement, physical condition, assigned destination, employee responsibility and location records. Update the record whenever a product moves, is replaced or changes purpose.

Recommended maintenance events

  • A franchise location opens or closes
  • A location changes address
  • A product moves to another department
  • A portable product changes employees
  • A product is damaged or lost
  • A location receives additional hardware
  • A destination changes
  • Printed branding becomes outdated
  • A franchisee requests replacement inventory

An eligible TAPro product can have its managed destination updated without replacing or physically reprogramming the product. The printed branding must still remain appropriate for its new location or purpose.

Franchise Deployment Record: Required Fields

Maintain a record containing enough information to identify every product, location, destination, placement and responsible party throughout the product’s deployment.

Record field Example Purpose
Location ID SEA-01 Identifies the franchise location
Business address Complete verified address Distinguishes similarly named locations
Product name SEA-01 Checkout Stand 2 Identifies the physical product
Product format NFC and QR countertop stand Supports inventory and replacement planning
Assigned destination SEA-01 Google review page Documents where the product should lead
Physical placement Second checkout counter Helps employees locate the product
Responsible person Location manager Establishes accountability
Deployment status Tested and active Shows whether the product is ready for use
Deployment date September 2026 Records when the product entered service
Reassignment notes Moved from reception to checkout Preserves important product history

Responsible Review Collection Across a Franchise

A franchise should establish one compliant review-request policy across every location. Customers should receive the same opportunity to leave honest feedback without being filtered according to satisfaction or pressured to provide a particular rating.

  • Do not request only positive reviews.
  • Do not offer incentives for positive reviews.
  • Do not use review gating.
  • Do not secretly redirect negative feedback away from Google.
  • Do not ask employees or conflicted parties to create misleading reviews.
  • Do not promise a specific number of reviews or guaranteed search rankings.
  • Train every franchise location to follow the same written process.

Review Google’s contribution policy and the FTC’s customer-review guidance before deploying the system.

Franchise Review Hardware Deployment FAQs

What should a franchise review hardware deployment include?

It should include verified locations, approved destinations, selected product formats, quantities, product names, branding versions, shipping instructions, employee training and final NFC and QR testing.

Should every franchise location receive the same products?

Not necessarily. Product formats and quantities should reflect each location’s customer traffic, floor plan, checkout stations, service areas and independently operating employees.

Can different franchise locations use different Google review destinations?

Yes. Eligible products belonging to each location can be assigned to that location’s appropriate Google review destination.

Can several products at one location share the same destination?

Yes. A franchise location can use several eligible stands, cards, plates, stickers or keychains connected to the same approved destination while naming each physical product separately.

How should franchise review products be named?

Use a consistent formula containing the location name or number, physical placement or assigned employee, and a product number when necessary.

Can franchise products be custom branded?

TAPro offers customization for qualifying projects. Available design options, production requirements and pricing depend on product formats, quantities, artwork, packaging, shipping and schedule.

Can an eligible product be moved to another franchise location?

Yes. Its managed destination and product name can be updated for another approved location or purpose. Printed location-specific branding should still be considered.

Does TAPro require a monthly dashboard subscription?

TAPro does not require a monthly or annual software fee for its stated product-management functions. Hardware, customization, production, packaging, shipping and optional services remain separate.

Who should be responsible for portable review products?

Every portable card, keychain or employee-carried product should be assigned to a specific employee, manager, vehicle, team or department.

How should a franchise test products before launch?

Verify each product’s name and location, test the NFC function, scan the QR code when included and confirm that both methods open the intended destination.
